People Services- Onboarding and Event Specialist
American Vision Partner- Tempe, AZ
Travel required up to 25%. Position will be office based with work from home part time.

As an Onboarding and Event Specialist you will manage the onboarding and new hire experience for all newly hired AVP employees. You will also own, coordinate and manage all New hire orientation, job fairs, and People Services related events. In this role, you will collaborate with all departments and external vendors to ensure AVP is providing an Exceptional Experience and being represented as an employer of choice to future talent and our internal team.

Responsibilities:

Onboarding:

  • Oversees and facilitates the onboarding of all new AVP employees including Providers. Process includes:
    • Building digital new hire files in UltiPro: licensure, certifications, OIG/SAM documentation, signed offers, etc.
    • Launch hiring process once an offer is made: new hire paperwork, coordinating pre-employment drug screening/background checks, completing I-9’s, ensures proper set up of staff and provider employees – computer/email access, scrubs/lab coats (if applicable), FOB (if applicable), and administers AVP swag
    • Schedules new hire start dates and works with hiring managers to ensure all onboarding requirements are complete in a timely manner.
    • Coordinates Day 1 orientation for all new Providers.
    • Owns the desk set up for all Tempe Admin new hires including supplies, IT equipment, welcome notes, swag, etc.
  • Continuously reviews internal hiring process with market trends, manager feedback, etc. to ensure we are delivering an innovative, competitive, high quality process to our newest teammates. Trains new leaders and current leaders (as needed) on onboarding process.
  • Attends and supports job fairs throughout the year.
  • Onboard and Off boards all temp observers/students/doctors who are doing observations/rotations/externships
  • Assist in the onboarding of talent during integration of new brands.

New Hire Orientations:

  • Builds a world-class day one onboarding experience that includes high energy, effective and valuable contents, and an experience talent will feel great about.
  • Works with leaders across all lines of business to ensure the proper amount of support and staffing at each onboarding event.
  • Participates in, coordinates the proper set up, and break down of event space.
  • Works with external vendors to set negotiate and schedule event space, travel, hotel, etc.

Job Fairs, Hiring Events, People Services Events

  • Works with leaders across all lines of business to ensure the proper amount of support and staffing at each onboarding event.

  • Helps to plan and coordinate holiday events at our Admin office in direct collaboration with Corporate Admin.

Other:

  • Order all internal Swag for: Onboarding/job fairs/etc.
  • All other duties as assigned.

Qualifications:

  • High School Diploma or GED required. Bachelors Preferred.
  • 2 years’ experience in high volume onboarding role required
  • Project Administration experience a plus
  • Healthcare experience a plus
  • Proven ability to work cross functionally with different departments while also holding teammates and leaders accountable to deadlines.
  • Passionate about creating genuine connections and an exceptional experience for new and current team members.
  • Excellent Written and Communication Skills
  • Highly organized with a proven ability to prioritize and complete tasks within set time frames
  • Ability to effectively present and train leaders on new processes.
