Administrative Assistant - Surgical Operations
Tempe Corporate Office

As an Administrative Assistant, you'll report to the Director of Surgical Compliance and provide clerical and administrative services to the Surgical Operations team. Your strong detail orientation and multi-tasking skills will be valuable in our fast-paced, high-volume environment. 


  • Word processes correspondence and reports from rough drafts, editing grammar, punctuation, or spelling as needed. This may include taking and transcribing dictation involving general business and healthcare vocabulary and a limited range of specialized terminology
  • Prepares, collates, and distributes various reports in a timely and accurate manner. This includes completing or handling recurring department projects or one-time projects, as directed by supervisor
  • Provides information to callers, vendors and visitors, requiring detailed knowledge of departments’ area of responsibility and general knowledge of company policies, practices, and operations
  • Performs confidential administrative functions on occasion where errors could have moderate effect on costs, such as typing, proofing, and assembling reports or proposals for customers or outside agencies and taking, transcribing and distributing minutes of important meetings
  • Coordinates supervisors and/or departments’ calendar, including scheduling meetings and appointments, following established instructions
  • May coordinate meeting and training classes, registration and preparation of materials, AVA setup, and other classroom preparation. May present classes. May develop meeting/classroom fliers and material and prepare summary data of attendance, etc. may reconcile related invoices and expenses. May arrange travel and hotel accommodations as necessary
  • Opens and screens mail directed to supervisor
  • Composes responses to routine inquiries, and ascertains which items can be delegated to subordinate managers, and forward appropriate items to manager
  • Provides clerical and administrative support to department staff, maintaining a high degree of confidentiality 
  • Other duties as assigned


  • High School Diploma or equivalent
  • 2+ years of Healthcare experience preferred
  • 2+ years of customer service experience with ophthalmology preferred
  • Experience working with a medical records system preferred
  • Demonstrated organizational skills and the ability to multitask within a fast-paced environment
  • Highly self-motivated, flexible, and directed with the ability to also work cooperatively with others as a productive team member
  • Excellent communication skills, written and verbal, with a high standard of positive interaction with all team members, clinic employees, clients, and members of the community
  • General computer proficiency, including accurate typing, 10-key, and word processing skills with the ability to utilize an electronic health record system
  • Proficient in Microsoft Office and Adobe Creative Suite applications
  • Proficient data entry skills with an ability to accurately and completely input, retrieve, and compile patient data into a clinical database
  • Ability to present a professional image of the department to consumers, the public, staff, and Board at all times
  • Ability to maintain a high level of confidentiality
  • Willingness to cross-train with all other administrative functions and provide back-up as needed
  • Ability to support a work team by demonstrating a positive attitude, openness to change, willingness to help, and respect for others and their ideas
